Exporting Your Data
Downloading your contacts, deals and everything else as CSV or a full JSON export.
What this is
Two ways to get your data out of Allsorts CRM:
- Export CSV — a button on each list page (Contacts, Companies, Deals, Leads, Tasks, Invoices & Quotes) that downloads that list as a spreadsheet file.
- Full data export — one JSON file containing everything your organization has stored, found under Settings → Export your data.
Why it exists
Your data is yours. You should never have to ask permission to get a copy of it, and you should never feel locked into a tool because getting your records out would be painful.
There's also a practical side: POPIA gives the people in your database rights over their own personal information, including the right to know what you hold about them. Being able to pull a complete, readable record of what's stored makes answering those requests straightforward rather than a scramble.
When to use it
- Before any big change — a bulk import, a bulk delete, or restructuring your pipeline. An export is a five-second insurance policy.
- For reporting outside the CRM — CSV opens directly in Excel, Google Sheets, or Numbers, so you can pivot and chart however you like.
- Handing figures to your accountant — the Invoices & Quotes export lists every document with its number, status, total, currency and dates.
- Responding to a POPIA data subject request.
- If you ever leave — take the full export with you, no notice period, no support ticket.
How to use it
A single list as a spreadsheet:
- Go to Contacts, Companies, Deals, Leads, Tasks, or Invoices & Quotes.
- Click Export CSV in the top right.
- The file downloads immediately, named with today's date.
Exports include your custom fields as extra columns, and the Deals export adds each deal's stage probability and weighted value.
Everything at once:
- Go to Settings.
- Under Export your data, click Download full data export (JSON).
- You'll get one file covering contacts, companies, leads, deals and their money log, tasks, activity notes, email logs, invoices and quotes, custom field definitions, automation rules, email templates, your sales goal, and your branding and organization settings.
Only owners and admins can run the full export, since it spans every teammate's records. Any team member can export the individual lists they can already see.
What's deliberately left out
The full export does not contain passwords, two-factor secrets or backup codes, your SMTP password, API keys, or webhook signing secrets. Those are credentials, not records — including them would turn a routine backup into a security risk if the file were ever mislaid. Attachments are listed by name and type rather than embedded, to keep the export a readable document instead of a multi-gigabyte download.
