WhatsApp and Video Calls with Customers
Sending documents via WhatsApp, and one-click video calling from a contact or deal.
What these features are
Two quick-access buttons that appear next to a contact or deal whenever there's enough information on file:
- 💬 WhatsApp — opens a WhatsApp chat with that contact, pre-filled with a greeting (on a contact/deal page) or with a link to the specific quote or invoice (on a document page).
- 📹 Start video call — opens whoever's currently logged in's personal Zoom/Meet/Teams meeting link in a new tab.
Why they work this way
WhatsApp doesn't allow real automatic sending or auto-starting a video call from a link — only the person on WhatsApp's end can tap Send, or tap the video-call icon once the chat is open. So the WhatsApp button opens a pre-filled chat rather than promising something WhatsApp itself doesn't support; you still tap Send (and, for a video call, the camera icon inside WhatsApp) yourself. The video call button is a personal link each team member sets once, rather than a link per contact — most people use one recurring Zoom/Meet room for all their calls.
When to use them
- Use Send via WhatsApp on a quote or invoice when a client prefers WhatsApp over email, or doesn't check email often.
- Use Start video call whenever you want to jump on a call with a customer without hunting for your meeting link.
How to set them up
- Video call link: go to Settings → My Profile and paste your personal Zoom, Google Meet, or Teams link. It'll then show up as a button on every contact and deal.
- WhatsApp: nothing to configure — it uses whatever phone number is already on the contact record (or the document's client phone number), normalized automatically for South African numbers.
Both require a phone number (WhatsApp) or a saved meeting link (video call) to appear — if you don't see the button, that's the missing piece.
