Building a Custom Report

Group Contacts, Companies, Deals, Leads, or Tasks by a field of your choice, with optional filters, and save it to re-run anytime.

What it is

A report builder at Reports → Custom Reports. Pick a record type, a field to group by, and optionally narrow it down with filters — the result is a saved, re-runnable breakdown that always reflects current data (it's not a snapshot).

What you can build

  • Deals by stage, status, owner, or currency — with value totals per group, split by currency where relevant.
  • Leads by status, source, or owner — useful for "which channel is actually producing leads."
  • Tasks by status, type, or assignee — a quick view of who's carrying the workload.
  • Contacts by owner, Companies by industry.

Filters narrow the underlying records before grouping — e.g. "Leads where Score is at least 60, grouped by Source" tells you which channels produce your best leads, not just the most.

Why grouping and filtering instead of a full query builder

A true ad-hoc query builder (arbitrary joins, custom columns, exports) is a lot of surface area for a CRM this size. Group-by plus simple filters covers the realistic "how many of X, broken down by Y" questions without turning reporting into its own product.

How to build one

  1. Go to Reports → Custom Reports and click + New Report.
  2. Name it, pick a record type and a group-by field.
  3. Add filters if you want to narrow the set (optional — leave empty to include everything).
  4. Click Preview to check the results, then Save Report. Saved reports appear as cards on the page and re-run live every time you visit.
