Customizing Your Pipeline Stages
Renaming, reordering, and adjusting the probability of each pipeline stage.
What you can customize
Every organization gets a default pipeline with five stages (New 10%, Qualified 30%, Proposal 60%, Negotiation 80%, Won 100%). You can rename any stage, reorder them, adjust the probability percentage each one represents — and add entirely separate pipelines for different sales processes.
Why this is configurable
Sales processes differ by business. A roofing contractor's stages might be "Enquiry → Site Visit → Quote Sent → Approved"; a consultancy's might be "Discovery → Proposal → Contract → Onboarding." Forcing everyone into a generic five-stage model would make the pipeline less useful, not more. And a business that both wins new customers and renews existing ones often wants to track those as two separate flows rather than squeezing both into one board.
Multiple pipelines
Go to Settings → Pipelines to see every pipeline your organization has, and add a new one (e.g. "New Business" and "Renewals") — each gets its own independent set of stages. Every deal belongs to exactly one pipeline. On the Deals board, a pipeline switcher appears next to the page title whenever you have more than one; use it to flip between boards. When creating a deal, pick which pipeline it belongs to and its stage options update to match. A pipeline can only be deleted once it has no deals left in it, and every organization must keep at least one.
When to change it
Ideally once, early — during Your First 10 Minutes — before you have many deals sitting in stages you're about to rename. You can still change it later; deals stay attached to their stage by ID, so renaming a stage doesn't lose any deals, but reordering can change how the board reads.
How to customize
- Go to Settings → Pipelines.
- Open a pipeline to rename its stages, reorder them, or change win probabilities — or create a new pipeline entirely.
- Save — the Deals board reflects your changes immediately.
Available on every plan, including the trial and Starter — custom and multiple pipelines aren't gated behind an upgrade.
