Fine-Tuning What a Member Can Do
Grant or restrict specific capabilities for an individual Member, without promoting them to Admin.
What it is
A per-person override on top of the Member role. By default every Member can already delete records and edit the pipeline, but can't touch custom fields or automation rules — these four toggles let an Owner or Admin adjust that for one specific person without giving them full Admin access (which would also unlock billing, domain, and security settings).
The four toggles
- Delete contacts, companies, deals & leads — on by default (matches how the CRM has always worked). Turn off for someone you don't want permanently deleting records.
- Manage pipeline stages — on by default. Turn off if you want only certain people restructuring your sales process.
- Manage custom fields — off by default (this was already Admin-only). Turn on for a Member who should be able to add fields without full Admin rights.
- Manage automation rules — off by default (this was already Admin-only). Turn on for a Member who should be able to build automations without full Admin rights.
Why it's four toggles and not a full custom-role builder
A full role-builder with dozens of granular field-level permissions is the kind of complexity that makes enterprise CRMs painful for small teams. These four cover the realistic cases — "can this person delete things," "can this person restructure the pipeline," "can this person touch custom fields or automations" — without turning team management into its own project.
How to use it
- Go to Settings → Team.
- Under a Member-role person (not Owner or Admin — they always have full access), click Manage permissions.
- Toggle any of the four capabilities. Changes apply immediately, no save button needed.
Only Owners and Admins can see or change these toggles.
