Managing Permissions (Owner, Admin, Member)
What each role can actually do, so you assign the right one.
What the three roles are
Owner — the account creator by default; full access including billing, branding, custom domain, and the ability to remove anyone. Admin — can manage most settings (branding, domain, team, pipeline) but sits just below Owner. Member — full access to contacts, companies, deals, tasks, and documents, but not organization-level settings like billing or branding.
Why the split exists
Not everyone on a sales team needs access to your banking details or billing settings — a Member role gives full working access to the CRM itself without exposing the parts of the account that affect the whole organization.
When to use each role
- Owner: reserve for the person ultimately responsible for the account — usually just one person, rarely changed.
- Admin: trusted team leads who need to configure settings but shouldn't necessarily control billing.
- Member: the default for most of your team — salespeople, account managers, anyone doing day-to-day CRM work.
How roles are assigned
Set when you send an invite (see Inviting Team Members and Roles Explained); an Owner or Admin can be asked to change a member's role via support if it needs to change later, since role changes aren't yet self-service from the team settings page.
If a Member needs slightly more (or less) access than the role gives by default — without promoting them all the way to Admin — see Fine-Tuning What a Member Can Do.
