Logging Activity and Emails on a Contact
Building a timeline of everything that happened with a contact, deal, or company.
What activity logging is
Every contact, company, and deal has a unified activity timeline — notes you write manually, emails you send or log, stage changes, and completed tasks all appear in one chronological feed on that record.
Why a unified timeline matters
Without it, the history of a relationship is scattered across your inbox, your memory, and whoever happens to remember the last phone call. A timeline means anyone on your team can open a contact and understand the full story in seconds, especially useful when a deal changes hands or a colleague is out.
When to log something
Right after it happens — a call, a meeting, an important email exchange. A note that says "Called, they want a quote by Friday" written immediately is far more useful than a vague memory reconstructed a week later.
How to log activity and email
- Open a contact, company, or deal's detail page.
- Use the Add Note field to log a manual activity entry.
- Use the Email Log form to record an email — if you've connected your own SMTP (see Connecting Your Own SMTP for Sending Email), outbound emails logged here are actually sent, not just recorded; without SMTP configured, they're logged with a clear "not sent" notice rather than silently pretending to have gone out.
- Stage changes on deals and completed tasks are logged automatically — no manual step needed.
