Assigning Leads Automatically
Deciding who picks up a lead the moment it arrives from your capture form.
What this is
A setting that decides who owns a lead the moment it arrives through your public capture form — and notifies that person straight away.
Find it under Settings → Automation.
Why it matters
A lead nobody owns is the most expensive kind to lose. It sits in a shared list depending on somebody noticing, and "I thought you were handling it" is how a paid-for enquiry goes cold. Assigning on arrival makes it one person's job, and the notification means they know without checking.
The three options
Nobody — leave unassigned. The original behaviour, and still the default so nothing changes for existing organizations. Fine if you're a one-person business or you triage leads manually.
Round-robin across the team. Each new lead goes to the next person in turn, spreading them evenly. Best when everyone sells the same thing.
Always one person. Every lead goes to a nominated teammate. Best when one person qualifies everything before passing it on.
How to set it
- Go to Settings → Automation.
- Under Who picks up leads from your capture form, choose a mode.
- For "Always one person", pick the teammate. It saves as you choose.
What happens on arrival
The lead is created with that owner already set, and they get a notification — in the app, as a push, and by email if they've left lead notifications on. Your automation rules see the owner too, so a rule that creates a follow-up task assigns it to the right person automatically.
Things worth knowing
- Round-robin needs no maintenance. It rotates on how many leads are already assigned, so it self-corrects when someone joins or leaves — there's no counter to reset.
- If the nominated person leaves the team, leads fall back to unassigned rather than vanishing to a deleted account.
- This applies to the public capture form only. Leads you add by hand or import keep the owner you give them.
- Repeat submissions don't reassign. Someone filling your form twice updates their existing lead rather than creating a second one, so ownership doesn't bounce between people.
