Email Sequences: Automated Follow-Up
A scheduled run of emails that stops itself the moment someone replies, buys, or opts out.
What this is
A sequence is a short run of emails sent on a schedule — day 0, day 3, day 7 — built from your existing email templates. Enrol a contact and the daily job sends each step as it comes due. Find it under Settings → Email Sequences.
Why it stops itself
A sequence that keeps emailing someone after they've replied, bought, or unsubscribed isn't automation — it's the thing that makes automation look bad. Before every send, the following are checked, and any one of them ends the sequence for that person:
- They replied. Any inbound email logged since they were enrolled.
- A deal of theirs was won. They're a customer now, not a prospect.
- They unsubscribed. From this sequence or any bulk email — the opt-out is global.
- The sequence was paused by you.
Someone who finishes every step without any of these happening is marked Completed, not left dangling.
How to build one
- Go to Settings → Email Sequences.
- Give it a name.
- Add steps: pick a template, set how many days after enrolment it sends. Day 0 sends immediately.
- Save.
You need at least one email template before you can add a step — sequences are built from templates, not written fresh.
How to enrol someone
From a contact's record, or via the public API if you're triggering enrolment from somewhere else in your workflow. A contact needs an email address and must not have unsubscribed.
Enrolling someone already mid-sequence (or already completed) starts them over from step one.
What each recipient sees
Ordinary emails — sent from your own connected SMTP, carrying your signature and Reply-To, with the standard unsubscribe footer. Nothing marks them as automated to the person receiving them.
Managing a sequence
Pause stops new sends without losing anyone's place — resume and it picks back up. Delete removes it and stops everyone enrolled; anyone part-way through gets no more emails. Both are on the sequence's row in the list.
Before sequences can send
You need your own SMTP connected — the same requirement as every other kind of email in the CRM. You can build sequences and enrol people before that's set up; they'll start sending once it is.
