Tags: Grouping Records Your Own Way

Free-form labels across contacts, companies, deals and leads.

What tags are

Short labels you can stick on any contact, company, deal or lead — VIP, Needs quote, Cape Town, Referral partner. One record can carry as many as you like, and the same tag can span record types, so a "Vodacom rollout" tag can cover the company, three contacts and two deals at once.

Why they exist alongside custom fields

Custom fields are for structured facts every record of that type has — a VAT number, a contract date. Tags are for the loose groupings that don't fit a column and change as you work: who you're chasing this month, which clients came from one referrer, which jobs are on hold.

Trying to model that with fields means adding a column you'll delete in six weeks. A tag costs nothing and disappears just as easily.

How to use them

On a record: open any contact, company, deal or lead and click + Tag under the header. Type a name and press Add. Typing a name that already exists reuses that tag — "urgent" and "Urgent" are the same tag, not two — so your list doesn't sprawl into near-duplicates.

Managing the full list: Settings → Tags shows every tag, its colour, and how many records carry it. You can create tags with a specific colour there, and delete ones you no longer need.

Deleting a tag

Deleting removes it from every record that carries it — you're warned how many that is first. The records themselves are untouched; only the label goes.

Finding tagged records

Tags show on the record itself, and global search covers the records they're on. For anything more analytical — "every deal tagged X, grouped by stage" — the custom report builder is the better tool.
